10 Proven Steps to Crafting Your First Video Case Study

Video case studies bring authenticity to your marketing because the story comes directly from the customer, not from your brand. By showing real results, you communicate your product’s unique benefits in a way that resonates more deeply than a simple sales pitch.

During the launch of our new website at WorkflowMax, we set out to film eight distinct case studies—one each from architects, graphic designers, engineering firms, and other creative professionals across the U.S., U.K., Australia, and New Zealand. Below are the ten key lessons I learned while producing my first video case study.

1. Know Exactly What You’re Marketing

Before you even pick a candidate, you must understand the core problem your product solves and how it delivers value. Many marketers assume they know what they’re selling, but that assumption can blind you to the real benefits your customers care about.

For example, WorkflowMax is an all‑in‑one job‑management platform that handles quoting, job costing, time‑sheeting, invoicing, and more. The real value? It frees business owners from juggling paperwork so they can focus on growing their business.

After speaking with over 100 WorkflowMax users in the past quarter, I heard stories that highlighted the same pain points: “I hate dealing with finances,” “I was on the brink of shutting down because I couldn’t keep track of invoices,” and “After the Christchurch earthquake, I lost all data and could not run my projects.” These insights reinforced that we’re marketing a tool that makes doing business easier, safer, faster, and more enjoyable.

2. Research and Prepare

Choosing the right subject is critical. Don’t just film the first company that agrees. Use a structured screening process to identify candidates who not only use your product extensively but also belong to industries that align with your marketing focus.

WorkflowMax serves over 5,000 businesses worldwide. We narrowed our search by:

  • Industry verticals we target—creative agencies, professional services (architects, consultants, lawyers, engineers), and IT service firms.
  • Geographic markets—U.S., U.K., Australia, New Zealand—so we could feature two stories per country.
  • Depth of product usage—companies that leverage multiple features to maximize ROI.

After establishing these criteria, we selected a manageable list of eight highly engaged users to spotlight.

3. Outreach: Highlight Their Value

When reaching out, focus on the benefits for the business owner. Video case studies double as powerful marketing collateral for the client, offering them a free, high‑quality showcase of their own success.

Clearly articulate the upside: “You’ll receive a polished video that you can use on your website, social channels, and sales decks—all at no cost to you.” This framing turns a time‑intensive request into a win‑win partnership.

4. Have a Preliminary Chat Before the Shoot

Use a brief conversation to gather context and build rapport. Key topics include:

  • Team size and business history.
  • What they love most about running their business.
  • Challenges faced before adopting WorkflowMax.
  • Which product features drive the most value for them.
  • The top benefit they’ve experienced.

This groundwork ensures the interviewee feels comfortable and positioned to share authentic, compelling stories on camera.

5. Conduct an In‑Depth Interview

A deeper interview—ideally in person or via a focused call—unlocks the stories that make a case study memorable. Sample questions:

  • “Tell us about your background and your team.”
  • “What were the three biggest pain points before using WorkflowMax?”
  • “How has WorkflowMax accelerated your growth in the past year?”
  • “Can you give a specific example of how the platform has simplified your workflow?”
  • “What would you say to others considering WorkflowMax?”
  • “What ROI have you realized?”

Record everything—audio and video—so you can transcribe and reuse insights for website copy, blog posts, and additional videos.

6. Collaborate with Your Video Director

If you’re working with an external production team, brief them thoroughly. Share interview transcripts, explain the client’s pain points, and outline the narrative you want to convey. A well‑prepared director can focus on capturing the moments that illustrate real benefits.

7. The Shoot

During filming, provide interviewees with a concise brief: the key benefits to cover and any product features you want to highlight. Let them speak naturally; avoid scripting. This approach keeps the footage authentic and relatable.

8. Shoot on Location

Filming outside the office adds visual interest and authenticity. For example, we captured an architectural firm on a construction site, showcasing hands‑on work and dynamic environments. Two or three distinct locations usually suffice for a 1–2 minute case study, but tailor the approach to each client’s business.

9. Focus on Benefits, Not Features

Feature lists can feel technical and dry. Instead, translate each feature into a tangible benefit. For instance, a cloud‑based platform enables invoicing from a remote location—like sending invoices from a Hong Kong airport while enjoying local cuisine—demonstrating flexibility and peace of mind.

10. Think Ahead for Future Content

Video footage is versatile. As you interview, capture responses that can be repurposed—for example, ROI statements for pricing pages or success stories for landing pages. This foresight turns a single shoot into a library of evergreen content.
